Processing Information

Donor supplied folder labels were retained where possible.

Appraisal

To the archivist's best ability, records containing PII particularly pertaining to student records and personnel files, were removed from the collection.

Extraneous and duplicative copies of university publications as well as photocopies of published materials and website print-outs (particularly related to James Madison) were not retained. Copies of Board of Visitors minutes, duplicative of those held in UA 0010, were not retained.

Forms and documents issued by the Library of Virginia and related to JMU's public records retention and disposal including Certificates or Records Disposal (form RM-3), Records Transfer List and Receipt (form RM-17), Records Retention and Disposition Schedules (form RM-2), and other related forms were not retained. These files primarily contained photocopies and carbon copies of the aforementioned forms.

The contents of 5¼-inch and 3½-inch floppy disks, ZIP disks were evaluated using their written labels and were determined to have a high probability of being duplicative of paper materials retained within the collection. As such, the floppy disks were not retained.

Draft versions of Montpelier/Madison Magazine articles as well as email correspondence related to edits were not retained. The final published issues of the magazines are held by Special Collections and are considered to be the version of record. Unless markedly compelling or otherwise significant, documents related to the design, editing, and drafting process of Montpelier/Madison Magazine were not retained.

(Same as above for website updates!)

Episodes of "With Good Reason" (copied on CDs), which originally aired on Virginia National Public Radio stations between 2007-2010 and featuring JMU faculty or on JMU related topics, were not retained due to duplication of originals held by Virginia Humanities and made available online at https://www.withgoodreasonradio.org/.
